The role of the Director of Client Services is to maintain a predictable practice environment by delivering efficient, professional service to our clients and providing support to the Advisor(s) in the practice.
Responsibilities
Warmly welcome clients by helping them feel comfortable when they visit the office
Manage Advisor(s) calendar by scheduling client meetings and other events
Efficiently process client service requests
Use the firm’s CRM software and other tools to generate and maintain the office systems manual, document activities, and generate reports
Manage office supplies, product kits, and marketing materials
Generate and organize client files for new and existing clients
Coordinate team meetings with agendas, minutes, task assignments, and follow up
Support Advisor(s) with their task lists and facilitate task prioritization and completion
Professionally manage incoming phone calls and email communication with clients and team members
Follow up with clients and service centers as needed to make sure all paperwork is processed
Provide marketing support for client communications and events
Qualifications
Required
5+ years of administrative experience
Superb organizational ability – you can create and follow systems
Strong Microsoft Office skills – Ability to learn other software tools quickly
Excellent attention to detail and accuracy
Self-directed and resourceful
Ability to prioritize projects and follow through on projects independently
Excellent interpersonal and phone skills
Extraordinary client service attitude
Associate Degree or its equivalent
Preferred
Experience and knowledge of financial services industry’s rules and regulations
Bachelor Degree
