Executive Assistant

JOB TITLE: Executive Assistant                  

DEPARTMENT: Administration

LOCATION: Sabina, OH 

REPORTS TO: VP of Administration                                                                      

JOB SUMMARY: The Executive Assistant will provide high-level administrative support to the Executive team and other senior staff.

ESSENTIAL FUNCTIONS: (Note: The following list of essential functions is not exhaustive and may be supplemented as necessary.)

  1. Provides high-level administrative support to Executive Directors and designated leadership, including preparing correspondence, reports, invoices, maintaining records, supplies, mail, and special projects.
  2. Assists with basic accounting functions such as bookkeeping, journal entries, tax recordkeeping, supporting schedules, maintaining accuracy of quarterly binders and monitoring equity balances and tax refunds.
  3. Prepares and maintains monthly schedules of aggregate loan activity and updates individual loan account activity.
  4. Communicates and serves as a point of contact with crop insurance agents, title companies, banks, and other stakeholders; Responds to or refers inquiries as appropriate.
  5. Creates and maintains property maps and listings, and ensures accurate documentation of land, assets, and rental status.
  6. Establishes proper company record retention guidelines and assure proper record filings.
  7. Approves and tracks various AP invoices and utility bills.
  8. Receives incoming communication, or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  9. Makes arrangements for meetings as it relates to meeting space, invitations, lunches, dinners, etc.   Prepares and maintains meeting agendas and files.
  10. Maintains calendar, appointments, makes travel reservations and processes travel expenses.
  11. Acts as backup for front desk administration at the Premier Office.
  12. Provides high level service in person & over the phone, assists with customer and company needs, maintains a positive attitude, provides accurate information & displays professionalism.
  13. Works well in a team environment, and in cooperation with the other team members in the office to complete tasks. 
  14. Exercises discretion and maintains utmost confidentiality regarding company operations and employee matters.

PERIPHERAL FUNCTIONS:

  1. Perform all other duties as assigned.

TIME ALLOTMENT TO WORK OBJECTS AND EQUIPMENT: HOURS PER DAY

EDUCATION AND EXPERIENCE: High School Diploma required; associate or bachelor’s degree in business administration or related field preferred. At least 2 years of related experience required. 

SKILLS: Excellent verbal and written communication, interpersonal, organizational, attention to detail, accuracy, mathematical and computer skills are required. Extremely proficient in Microsoft Office products and time management with the ability to work alone and in a team environment. Able to type 50 words per minute. The ability to self-initiate follow-through of tasks to the end, interact with colleagues at all levels in a fast-paced environment, promote positive helpful work interactions, adapt to change, and exercise independent thinking and judgement is key. Leadership and technical skills preferred.

CERTIFICATIONS/LICENSE: Must have a valid driver’s license.
